Retailer Hotel Support Program

Naturally Independent Expo | November 14–15, 2025

To support independent natural product retailers and encourage participation in the 2025 Naturally Independent Expo, we are excited to offer a limited Hotel Support Program for qualified retailer attendees.

Pre-approved retailers who meet the outlined criteria will receive a reimbursement check up to $250 maximum covering the base cost of one hotel room night (plus applicable fees and taxes paid by the retailer) for the event. This initiative is designed to encourage meaningful participation in our education sessions and maximize engagement with our exhibiting brand partners.

 

Eligibility & Requirements

• Submit a completed Hotel Reimbursement Application by October 15, 2025.

• Provide proof of active retail business in the natural products industry.

• Limit one room reimbursement per approved store or business entity.

• Attend a minimum of 3 designated Education Sessions on Friday, November 14 as well as all sponsored Meal events

• Attend the Trade Show Floor during open hours on Saturday, November 15.

• Participate in a short Retailer Feedback Survey after the event

• Display “Naturally Independent Expo Participation badge” on Social Media prior to event

• Meet with 3 participating sponsors or designated program supporters during event

• Visit and engage with at least 75% of all exhibitors (verified via digital or paper check-in system).

• Submit completed verification documents no later than 5:00 PM on Saturday, November 15, 2025.

• Return all completed forms to the designated onsite registration area.

• Reimbursement checks will be issued onsite or mailed within 14 business days after the event.

 

Additional Details

• Retailers are responsible for reserving and paying for their own hotel accommodations, including any taxes, resort fees, and incidental charges.

• The reimbursement amount will not exceed the published nightly room rate at the host hotel(s) for standard accommodations, and maximum reimbursement is $250 regardless of the nightly room rate paid by participant.

• Reimbursements are non-transferable and will only be awarded to the name and business on the approved application.

• Program availability is limited and subject to approval.

• Priority will be given to stores according to travel distance from Palm Springs, CA.
